Corporate Profile
Purpose: Data entered on the Corporate Profile
form is used to generate corporate documents.
Automating the process reduces the amount of time spent and decreases
the possibility of error. It also
provides a single location for storing and quickly locating important
corporate information.
Overview: Enter data on this form before entering
other data. The information entered on
the Corporate Profile form is needed for most other forms as well as
documents and reports. The minimum
amount of information needed is the name of one company. The number of companies that can be entered
into one Corporate Manager Software (CMS) application is, practically
speaking, limited by the storage capacity of the computer. (The maximum
number of records per CMS table is limited to one billion.) For limits to the Corporate Manager

6. Record Navigation 
- The First/Prior/Next/Last buttons move through company records
in the order they were created. Using
the company tabs at the top of the form to navigate can be faster.
7. List and
Find 
- The ‘List’ option displays the names
of companies
Selecting a company name in the list
displays that
company’s record on the form.
- The ‘Find’ option locates company
records by:
company name
county
SIC code
state
postal zip code
8. Reports-Labels The
following reports are accessible from the Reports-Labels option on the main
menu. When moving from one form to another report options change

- List of All Companies
- Profile for The Selected Company
- List of Persons Associated With The Selected Company

Company
Name: The company name is tied to company related information
in other tables so it is essential to create a company record before entering
related data. The first record is already created so you only need to change
the company name and enter the related data.
Once the first company name is entered click the new button on the
standard toolbar to add additional companies.
Use the official name of the corporation as it is listed in government
records.

Add
a Company Record: A new company record can only be added from the Corporate
Profile form. Use
the New button on the Standard Toolbar or use the Add New Company Record
option in the main menu at the top of the form. When adding a record, blank text boxes
appear and data can be entered for that company. A new record can not be created if a new
record already exists and a company name has not been entered. Links to other tables, such as the
personnel table and corporate meeting tables, are created automatically when
a new company record is added.

Deleting
a Company Record: When a company record is deleted, all related information
for that company is deleted. (It is highly recommended that you back-up your
data before deleting a company record.)
Use the Delete button on the Standard toolbar or the
Delete Selected Company option on the main menu at the top of the form to
delete a company record. .

Corporate
Address: Use the address for the corporate headquarters in the
primary state the corporation is licensed to do business.

SIC
Code: Use the four-digit Standard Industrial Classification
used by the US Department of
Labor. A SIC code lookup search is
available on the Internet at: http://www.osha.gov/oshstats/sicser.html You can use the
underlined SIC Code label to link to the web site. GO

Modify
a Company Record: To modify company data simply click on a text box and
make the change or select an option from a pull-down menu and make the
change. The cursor must be moved out
of a text box for the changes are saved a temporary file.
Changes are made to a temporary file so the user can press
the revert button and undo changes that were made since the data was last
saved. In some situations changes have
to be saved to the permanent file in order to continue a process. In these instances the changes are
committed to the permanent file without notifying the user.
The user can commit changes to the permanent file at any
time by pressing the SAVE button on the standard toolbar or selecting the
Save option in the File menu. You can
revert to the data in the permanent file by pressing the REVERT button on the
standard toolbar or by selecting the Revert option in the File menu. GO TOP

Business License: Use the identification number from the state, county, and
city business licenses. The underlined
State Bus. License label links to a list of Secretary of State web sites
where more information can be obtained on each state’s business license

D
and B Number: A major corporate
credit bureau. It’s a good idea to
apply for a D and B number so that creditors can report your payment history
to D and B. You can do this on the web
at http://www.dnb.com/us/. You can link to their web site by clicking

Contact
Information: These are primary electronic methods used to
communicate with the company. Enter
the primary voice and FAX phone numbers for the business, where the president
and/or other corporate officers can be contacted. GO TOP
Internet: The web site is
the company's home page address on the Internet. When the Website label is underlined you
can connect to the web site by clicking the label. The web address must be proceeded
by http://www for the web link to work. GO TOP

Email: The email button
provides an easy/quick way to contact the company. The email address just above the button has
to be completed for the button to work.
The ‘Important Email Directions’ button is a warning that your email
client must be MAPI compliant. MAPI compliant email clients include Outlook, Outlook Express,
Netscape, etc. Even if you’re
using a client that is not compatible it’s easy to temporarily switch to one
that is by opening the control panel, double clicking the Internet Options
Icon, selecting the Programs tab, then selecting a compliant email program.
This requires that you have an Internet provider where MAPI compliant
software can be used. If you use AOL,
or a similar provider, you will need to copy and paste documents into
messages and send email manually.

State
And IRS
ID: Enter the IRS tax identification numbers. The state identification number is the
number used by the state to identify the corporate entity. GO TOP

Fiscal
Year: Enter the date for the last day of the company's fiscal
year, in the year the corporation was first created. The fiscal year is the end of the company's
accounting cycle, when the company closes its books reporting its revenue and
profit for the year. This is often
December 31st but could be another date.
The date is the end of the year for tax purposes as well. In the CMS the date is used to project when
annual stockholder meetings and corporate taxes are due which is listed in
the CMS Corporate Calendar. GO TOP

and Date of Incorporation: The date of Incorporation is the date listed on the
incorporation papers received from the Secretary of State in the state of

Name of county and country are needed to automatically insert into
corporate documents. Use the county
and country of the corporate headquarters.
