Step 2 – Maintain the Database
Corporate
Calendar
The corporate calendar is a
management tool that can be used to determine when activities occurred and
when meetings and IRS taxes are due.
The dates in the calendar originate
in other forms so no data is entered in this form. For example the dates for director meetings
come from the Director Meetings form and stock transactions are from the
Stock Ledger form.
To start:
Ø
Click the Corporate Manager bar on the
Navigation toolbar or press the Tools and Help bar to locate the Calendar
icon.
Ø
Click the Calendar icon to open the Corporate
Calendar

Director and shareholder
meetings, meeting notices, stock transactions, corporate organization, and resolutions
are tracked on the corporate calendar.

Data files are scanned each
time the calendar is opened. As the
data files grow in size, the scanning process will take more time.
Each type of activity is a color
coded bar on the calendar. If the
number of bars exceeds the space available on the calendar, the overflow will
not be displayed.
The categories include:
Resolutions: Dates director and
shareholder resolutions were passed.
Shareholder Meetings: Dates for the selected corporation's
stockholder Meetings.
Director Meetings: Dates
of each directors’ meeting for the selected
corporation.
Professional resources:
Dates associated with each of the professional resources listed in the
Professional Resources section of the Corporate Manager Software.
Stock Transactions: Dates for each stock transaction that has
been entered on the Stock Transactions form.
Corporate Requirements:
Dates for the selected corporation's Corporate Charter. Quarterly tax due dates and the date for
future annual stockholder meeting are projected based on the incorporation
date listed on the Corporate Profile form.
To display certain categories
and not others mark or unmark the checkboxes under ‘Show’. The name for each activity is listed in the
lower right corner of the form.
To Display the names of
activities for a single day, double click the date on the calendar. Click the date again to list all of the
activities.
Backup Data
To ensure that data is not lost it’s a good idea to back
up your data files to a location other than the current application
folder. This can be done by selecting
the ‘Back-up Data Files…’ option under File on the main menu. One of the CMS forms must be on the screen
for the backup option to be available.
Backup files can be saved to any location the computer has access to
including other computers on a network.
Import Data
To import backup files select the ‘Import Data Files…’
option under File on the main menu.
You are given the opportunity to save current data before importing a
backup file which is necessary if you want to retain the data that is
currently displayed on the screen. If
you do not backup the data it will be lost when importing a backup file.
To Close The
Corporate Calendar Form:

Press the close box (the red box with an X) at
the top right of the form.

The Corporate Calendar closes.
